IMAP is a protocol that keeps all messages and folders on the server. In addition, IMAP idle is an optional feature of the IMAP protocol that pushes all new messages to Outlook as they are received by the mail server. Unlike POP, IMAP offers two-way communication between your SmarterMail mailbox and your email client(s). This means when you log in to the SmarterMail Web interface, actions you performed on email clients and mobile devices will automatically appear in the Web interface (and vice versa).

With POP3, your mail is saved in a mailbox on the remote server until you check your mail. When you check your mail, all of the mail is downloaded to your computer and is no longer maintained on the server. If you use POP3 and are traveling or check your mail from multiple locations, you will not be able to view any of your old mail because the messages only exist on the computer on which you originally received your mail. NOTE: If you have enabled Outlook to keep messages on the server, you will be able to access your messages and folders from any computer via the SmarterMail Web interface or your mobile device.

Follow these steps to create an Outlook 2007 POP3 or IMAP account:

In Outlook, go to Tools and Account Settings. Below the Email tab click New.

Choose the email service you wish to configure: POP3 or IMAP.

Select the manually configure server settings or additional server types check box. This will automatically enter in all of the required fields.

Click Next.

Click the Internet Email bubble.

Click Next.

Enter the following information:

Your Name: This is the display you want to use, such as Joe Smith.

Email Address: This is your full email address, such as username@example.com.

Incoming Server: Contact your ISP or hosting company for this setting. It will be something like mail.example.com.

Outgoing Mail Server: Contact your ISP or hosting company for this setting. It will be something like mail.example.com.

Username: This is your full email address, such as username@example.com.

Password: This is your email account password.

If your mail server requires SMTP authentication, follow these steps. If you are not sure if your mail server requires SMTP authentication, please contact your hosting company or ISP.

Users with Apple iOS devices that choose not to use the Exchange ActiveSync add-on will need to configure their iOS device to retrieve messages using either IMAP or POP3.

With POP3, your mail is saved in a mailbox on the remote server until you check your mail. When you check your mail, all of the mail is downloaded to your device and is no longer maintained on the server. If you use POP3 and are traveling or check your mail from multiple locations, you will not be able to view any of your old mail because the messages only exist on the device/computer on which you originally received your mail.

Follow these steps to create a POP3 connection to SmarterMail on an Apple iOS 4 device like the iPad, iPhone or iPod Touch:

On the iPhone, tap Settings.

Tap Mail, Contacts, Calendars.

Tap Add Account.

Tap Other.

Tap Add Mail Account.

Complete the Name, Address (email address), Password and Description fields.

Click Next.

Ensure POP is selected.

Enter your incoming mailserver information:

Hostname is generally mail.yourdomainname.com. If you aren't sure, contact your email hosting company

Username is your full email address

Password is the same password used to access webmail.

Enter your outgoing mail server information:

Hostname is generally mail.yourdomainname.com. If you aren't sure, contact your email hosting company

Username is your full email address

Password is the same password used to access webmail.

Tap Save.

The iPhone will attempt to establish an SSL connection to your POP and SMTP servers. If this succeeds, you will be done and can proceed to step 13. If this fails, you will see the prompt, "Do you want to try setting up the account without SSL?"

Tap No.

Tap Save.

When prompted, "This account may not be able to send or receive emails. Are you sure you want to save," tap Save.

Tap the account you just added (identified by your email address).

Scroll down and tap the SMTP button.

Select the server you just added, identified by the hostname from step 9.

Select OFF for Use SSL.

Select Password for Authentication

Select 25 for Server Port.

Tap the Done button to go back.

Tap your email address to go back.

Tap Advanced.

IMPORTANT: It is recommended that you avoid putting sub-folders under your Inbox as IMAP synchronization with most email clients is unreliable. This is a limitation of mail clients and NOT SmarterMail. While the SmarterMail web interface does allow you to create folders in your inbox, realize that those folders may not appear in your email client.

Follow these steps to set up Apple Mail to sync with SmarterMail via IMAP :

On your Mac, open System Preferences.

Click Internet Accounts.

Click Add Other Account...

Select Add a Mail account and click Create

Complete the display name, full email address and password fields.

Click Create.

Type the root URL to your SmarterMail webmail. For example, http://mail.example.com.

Click Next.

For the Incoming Mail Server options select the IMAP for account type. Complete the required filed : Incoming Mail Server, User name (full email address), and Password

Click Continue

If you receive an message stating "cannot sent your password securely to the server" click Continue

For the Outgoing Mail server options fill in the required files: Outloging Mail server and if you require SMTP authentication click Use Authentication and fill in with full email address and password

Click Continue

You will see an account summary page and now click Create

POP is a protocol used to retrieve email messages from an Internet email server. Generally, when you use POP it is best to use it from one particular computer. When you download your messages, the POP email server stores them for your later retrieval. If you go to another computer to connect and retrieve that same message, it will no longer be on the POP server.

You can also download a copy of new e-mail messages and not delete items from the POP3 email server. This is useful if you check your POP3 email account from a number of computers or profiles. For example, you can download a copy of the messages on your work computer, and then on your home computer, you could download the messages and delete them from the POP3 server.

Windows 8 includes a default Mail client that works well with SmarterMail and can be used to sync calendars, contacts and email. However, there are 2 things to note prior to setting up your account:

Users must have the Exchange ActiveSync (EAS) add-on if they want to sync their calendars and contacts with Windows 8. If this is not a concern, you can easily set up a standard POP or IMAP account in Windows 8 Mail.

If you're setting up using EAS, SSL MUST be enabled for the mail domain. By default, Windows 8 Mail looks for a secure connection to the mail server when setting up an "Outlook" or "Exchange" account. Unlike IMAP, there isn't an option for bypassing the SSL connection until after the account is initially set up. IMAP can be set up either with, or without, SSL.

Setting up a SmarterMail account in Windows Mail 8 using IMAP

If you're setting up Windows 8 Mail for the first time, when you open the client you'll see the option to "Add your email accounts". Otherwise, simply bring up the Mail settings, click on Accounts and Add an Account.

As you're setting up an IMAP account, click on the Other Account (Connect) option.

Select IMAP and click Connect

If you have auto-discovery set up, you can simply add in your full email address and password, then click Connect.

If you don't have auto-discovery set up, click on the "Show more details" link

With the details expanded, you will have the ability to add a bit more detail for the account:

Email address - your full email address

Username - your FULL email address

Password - your email password

Incoming (IMAP) email server - the URL of your mail server (e.g., mail.domain.com)

Port - the default port you're using. Windows 8 Mail will automatically add in the default port for SSL and non-SSL IMAP connections. However, you can modify this if you're using an alternate port.

Incoming server requires SSL - check for requiring an SSL connection, uncheck if you do NOT want to use SSL.

Outgoing (SMTP) email server - the URL of your mail server (e.g., mail.domain.com)
